Meetings Page

The Meetings Page provides users with meeting functionality as well as meeting data. The functionality includes the ability to schedule a meeting and the ability to start a meeting from a Workspace. The data includes a record of  upcoming scheduled meetings and a record of meetings recently attended by users of the Workspace.

 

Schedule Meeting Button  

To schedule a meeting:

  1. From the Meetings page click the Schedule Meeting button - the Schedule a VIA3 Meeting page will appear:

  2. Click Save - the Schedule Meeting confirmation window will appear verifying the invitations have been sent to all invitees.

  3. When the designated day and time for the meeting arrive, Owners and meeting organizers of the Workspace can go to the email invitation and click on the link provided or click on the "Start Meeting" button located on the details page for that scheduled meeting.

  4. Managers and Viewers of a Workspace can join a scheduled meeting by going to the email invitation and clicking on the link provided or by clicking on the "Join Meeting" button located on the details page for that scheduled meeting.

 

Note: The "Select Workspace Members" link will open the Select Invitees window listing all the current members of the Workspace. Click the check box next to those members you wish to invite or click the Select All button and click OK. The Invitation List will be automatically populated with the selected members.

 

Start Meeting Button    

To start a meeting:

  1. From the Meetings page click the Start Meeting button - the New Meeting window will open displaying available contacts.

  2. The default text in the Meeting Name window will display the host's name - this may be edited. Name the meeting and select the invitees you wish to meet with by clicking on the check box next to each of their names.

  3. You can invite anyone not listed by sending them the unique URL displayed in this window

  4. Click the Meet button.

 

Note: The "Start Meeting" button functionality is available from Workspaces when you have check the "Start VIA3 Messenger" box on the Log On page. This box is checked by default.

 

 

Scheduled Meetings List

The Scheduled Meetings area of the page provides a record of the meetings you have scheduled. This information is organized by the name of the meeting, the name of the person who sent the invitation and the date. By clicking on the column headings, the information can be reorganized by ascending or descending date, alphabetical starting with "A" or "Z", etc. The names of the listed scheduled meetings are also links. Clicking on any one of the links will display the details of that scheduled meeting.

 

Owners and meeting organizers can also start a meeting from the Scheduled Meeting Details Window by clicking on Start Meeting button. Starting the meeting from this window will automatically invite the pre-selected invitees and include the pre-selected Workspace. Managers and Viewers of a Workspace can join a scheduled meeting by clicking on the "Join Meeting" button located on the details page for that scheduled meeting.

 

Edit Scheduled Meeting Information

Workspace Owners and meeting organizers can edit scheduled meeting invitation details.

To edit meeting invitation details:

  1. From the Meetings page click on the name of the scheduled meeting you wish to edit - the Meeting Details page will appear.

  2. Click the Edit button - the Edit Meeting window will appear.

  3. Make the necessary edits and click Save - the Edit Meeting Update window will appear and verify that updates to the meeting have been sent to all invitees.

  4. Click OK.

  5. Workspace Owners and meeting organizers can cancel meetings by clicking the Cancel Meeting button on the Meeting Details page.

 

Warning:  If Workspace Owners or meeting organizers change the password of the meeting NO update email will be sent to the invitees.

 

Recent Meetings List

The Recent Meetings area of the page provides details of the meetings that have been held by users of that Workspace. This information is organized by the name of the meeting, the name of the person who sent the invitation and the date. By clicking on the column headings, the information can be reorganized by ascending or descending date, alphabetical starting with "A" or "Z", etc. The names of the listed recent meetings are also links. Clicking on any one of the links will display the details of that recent meeting.
